Role Overview
We are seeking a Project Coordinator to ensure the smooth execution of a complex, multi-workstream national program.
The role is responsible for coordinating tasks across departments, maintaining project timelines, tracking deliverables, documenting decisions, and ensuring follow-up on all action items. The ideal candidate will act as the central coordination point between internal teams and external stakeholders, ensuring operational alignment and timely execution.
This is a high-ownership coordination role requiring strong organization, accountability, and cross-functional communication skills.
Key Responsibilities
Project Planning & Timeline Management
- Maintain and continuously update the master project timeline across all workstreams
- Break down milestones into actionable tasks with owners and deadlines
- Track progress and proactively identify risks, delays, and dependencies
- Ensure alignment across departments on delivery schedules
Cross-Functional Coordination
- Act as the central coordination point between Operations, HR, Education, Technology, Customer Success, Finance, and Events
- Run weekly follow-ups with department focal points to ensure execution alignment
- Resolve interdepartmental dependencies and unblock execution issues
Action Tracking & Follow-Up
- Maintain a structured action item tracker with owners and deadlines
- Follow up consistently with stakeholders to ensure timely closure
- Prepare weekly status updates highlighting progress, risks, and blockers
Stakeholder & Government Communication Support
- Support preparation of formal communications to government stakeholders
- Track commitments from external meetings and ensure internal execution follow-up
- Maintain documentation for compliance and reporting purposes
Reporting & Documentation
- Maintain centralized project documentation (timelines, MOMs, trackers, reports)
- Ensure proper version control and structured file organization
- Prepare dashboards and summaries for leadership review
Education
- Bachelor’s degree in Business Administration, Project Management, or related field
- Relevant project coordination experience is required
Experience
- 2–5 years of experience in project coordination, operations, or project management
- Experience in cross-functional environments (education, tech, or government-related projects is a plus)
- Exposure to structured reporting or large-scale programs preferred
Skills
- Strong proficiency in Excel, PowerPoint, and documentation tools
- Experience with project management tools (Asana, Monday.com, Notion, MS Project, etc.)
- Excellent organization, follow-up, and multitasking abilities
- Strong communication skills in Arabic and English
- High attention to detail and accountability
- Ability to manage multiple stakeholders and priorities simultaneously
Preferred Background
- Experience in national-scale or government-funded projects
- Background in ed-tech, training programs, or digital transformation initiatives
- Familiarity with KPI tracking, dashboards, and operational reporting
