Responsibilities

  • You'll support the People & Talent and the COO to ensure the operations of our Dubai office are up to standards and that we’re providing the team with an awesome workspace, by overseeing and coordinating day-to-day administrative activities, managing office supplies, snacks, equipment, and maintenance;

  • You’ll manage the COO’s calendar, scheduling travels and ad-hoc requests;

  • You’ll actively participate in employees’ onboarding and offboarding, by assisting with simple IT support, providing colleagues with guidance, office material and helping them liaise with the relevant people at Lean and managing the HR digital platforms (DIFC portal, AccessADGM, etc.)

  • You’ll work with our other offices and Office & Operations managers to implement office policies and procedures;

  • You’ll proactively help with other relevant business items that may arise, such as event planning (management and execution of local events to drive sales, build a community, and enable recruiting including logistics, production, venues, and budget);

  • You’ll cost-effectively manage perks and amenities that engage our people;

  • You’ll assist in coordinating internal meetings, including but not limited to Board meetings, one-on-one meetings, interviews, team meetings, etc.;

  • You’ll assist in coordinating travel logistics, including but not limited to visa applications, exit and re-entry permits, flights and accommodations;

  • You’ll collaborate with the Finance department by assisting in budget preparation and expense tracking, processing invoices and managing petty cash;

  • You’ll ensure that we maintain accurate and organized records.

Minimum Qualifications

  • Experience working in an office management capacity is a must

  • Excellent English language skills (written and verbal communication) to operate effectively at Lean;

  • Proficient in basic office software (Google Workspace, Microsoft Office Suite, etc.);

  • Strong organizational and multitasking abilities;

  • Excellent time management skills;

  • Ability to interact professionally with employees, clients, and vendors;

  • Capacity to handle unexpected challenges and find solutions;

  • Basic understanding of budgeting and expense tracking;

  • Ability to work collaboratively with others;

  • Awareness of relevant regulations and best practices.

Desired qualifications:

  • Previous experience in a tech startup and/or leading tech company.
