Job Overview
We are seeking a highly organized and efficient individual to join our team as the CEO Office Manager. This role will provide administrative support to our CEO, as well as manage the day-to-day operations of the CEO office. The ideal candidate should have exceptional organizational and communication skills, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities
- Act as the first point of contact for the CEO, managing all incoming calls, emails, and correspondence
- Schedule and coordinate meetings, appointments, and travel arrangements for the CEO
- Prepare and distribute meeting agendas, minutes, and other documents as required
- Maintain and update the CEO's calendar, ensuring all appointments and deadlines are met
- Manage the CEO's expenses and reconcile credit card statements
- Conduct research and prepare reports, presentations, and other documents as requested by the CEO
- Organize and maintain the CEO's files, records, and confidential information
- Liaise with internal and external stakeholders on behalf of the CEO
- Provide administrative support to other members of the executive team as needed
- Oversee the day-to-day operations of the CEO office, including ordering supplies, managing inventory, and ensuring a clean and organized workspace
- Perform other duties as assigned by the CEO
Qualifications
- Bachelor's degree in Business Administration, Management, or a related field
- Minimum of 5 years of experience as an Executive Assistant or Office Manager, preferably in a fast-paced environment
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to handle sensitive and confidential information with discretion
- Proven ability to manage multiple tasks and prioritize effectively
- Strong problem-solving skills and ability to work under pressure
- Professional demeanor with the ability to interact with individuals at all levels
