Job Overview

We are seeking a highly organized and efficient individual to join our team as the CEO Office Manager. This role will provide administrative support to our CEO, as well as manage the day-to-day operations of the CEO office. The ideal candidate should have exceptional organizational and communication skills, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities

  • Act as the first point of contact for the CEO, managing all incoming calls, emails, and correspondence
  • Schedule and coordinate meetings, appointments, and travel arrangements for the CEO
  • Prepare and distribute meeting agendas, minutes, and other documents as required
  • Maintain and update the CEO's calendar, ensuring all appointments and deadlines are met
  • Manage the CEO's expenses and reconcile credit card statements
  • Conduct research and prepare reports, presentations, and other documents as requested by the CEO
  • Organize and maintain the CEO's files, records, and confidential information
  • Liaise with internal and external stakeholders on behalf of the CEO
  • Provide administrative support to other members of the executive team as needed
  • Oversee the day-to-day operations of the CEO office, including ordering supplies, managing inventory, and ensuring a clean and organized workspace
  • Perform other duties as assigned by the CEO

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field
  • Minimum of 5 years of experience as an Executive Assistant or Office Manager, preferably in a fast-paced environment
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to handle sensitive and confidential information with discretion
  • Proven ability to manage multiple tasks and prioritize effectively
  • Strong problem-solving skills and ability to work under pressure
  • Professional demeanor with the ability to interact with individuals at all levels
