We are currently seeking a highly professional and experienced Executive Secretary to provide comprehensive, high-level administrative support to our Chief Executive Officer (CEO) and Vice President (VP). The ideal candidate will be a proactive, organised, and discreet individual capable of managing a demanding workload in a fast-paced environment. This role is critical to ensuring the smooth and efficient operation of our executive office.

Responsibilities

  • Manage and maintain the complex and demanding schedules of the CEO and VP, including arranging appointments, meetings, and conferences.

  • Coordinate all aspects of executive travel, including booking flights, accommodation, and ground transportation, and preparing detailed itineraries.

  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the executives.

  • Act as the primary point of contact between the executives and internal/external stakeholders, screening and directing phone calls and emails.

  • Organise and attend meetings, ensuring the executives are well-prepared; this includes taking minutes, distributing them, and following up on agreed action points.

  • Handle confidential information with the utmost discretion and integrity.

  • Manage executive expenses, process invoices, and assist with budget tracking for the executive office.

  • Conduct research and compile data to prepare documents for review and presentation by executives.

  • Maintain an efficient and organised filing system for both electronic and physical documents.

Qualifications

  • Proven experience as an Executive Secretary, Executive Assistant, or in a similar senior administrative role, supporting C-level executives.

  • Exceptional organisational, planning, and time-management skills with a proven ability to multitask and prioritise work.

  • High proficiency in the complete Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Excellent verbal and written communication skills in English; fluency in Arabic is highly advantageous.

  • A high degree of professionalism, discretion, and an understanding of the importance of confidentiality.

  • The ability to work independently, remain calm under pressure, and meet tight deadlines.

  • A proactive approach to problem-solving with strong decision-making capabilities.

  • A bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.
