We are seeking a highly organized, proactive Virtual Assistant to provide comprehensive administrative support to our team from a remote location. The ideal candidate is a self-starter who excels at multitasking, communicates clearly, and thrives in an independent work environment. You will serve as a critical support pillar, handling calendars, communications, research, and various operational tasks to keep our business running smoothly.

Key Responsibilities

Administrative Support

  • Manage executive calendars, schedule appointments, and coordinate meetings across time zones
  • Handle email correspondence, prioritize incoming messages, and draft professional responses
  • Prepare documents, presentations, reports, and spreadsheets
  • Maintain organized digital filing systems and databases
  • Data entry and record keeping with high attention to accuracy

Communication & Coordination

  • Serve as primary point of contact for internal and external communications
  • Coordinate with vendors, clients, and team members
  • Schedule and facilitate virtual meetings (Zoom, Teams, Google Meet)
  • Take meeting minutes and distribute action items
  • Manage contact lists and CRM updates

Research & Project Support

  • Conduct internet research on various topics as assigned
  • Compile information into summaries and reports
  • Assist with special projects and event planning
  • Book travel arrangements (flights, hotels, transportation)
  • Process expense reports and invoices

Social Media & Digital Support (if applicable)

  • Schedule and publish social media content
  • Monitor social media accounts and respond to basic inquiries
  • Assist with basic content creation and graphic design (Canva, etc.)

Required Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred
  • 2+ years of administrative, executive assistant, or virtual assistant experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace
  • Excellent written and verbal communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities and meet deadlines independently
  • Reliable high-speed internet connection (minimum 20 Mbps)
  • Quiet, professional home office setup
  • Computer with webcam, headset, and updated operating system
  • Availability during core business hours (time zone flexibility may be required)
  • Discretion and ability to handle confidential information

Preferred Qualifications

  • Experience as a virtual assistant or remote executive assistant
  • Familiarity with project management tools (Asana, Trello, Monday.com, Notion)
  • Knowledge of CRM platforms (HubSpot, Salesforce, Zoho)
  • Experience with bookkeeping or expense management software
  • Social media management experience
  • Graphic design skills (Canva, Adobe Creative Suite)
  • Additional language proficiency
  • Certification in administrative support or related field
