Responsibilities
As a Virtual Assistant, you will be responsible for a wide range of administrative and client-support tasks. Your key duties will include:
- Managing calendars and scheduling client consultations, project estimates, and work commencement dates.
- Serving as the first point of contact for new and existing clients, handling enquiries via phone and email with professionalism and courtesy.
- Preparing and dispatching professional quotes, contracts, and invoices to clients in a timely manner.
- Liaising with our painting crews and suppliers to coordinate project schedules and material orders.
- Maintaining and updating client records and project information within our company database or CRM system.
- Performing general administrative duties, including data entry, document organisation, and report preparation.
- Following up with clients on unpaid invoices and providing exceptional post-project customer service.
Qualifications
The ideal candidate will be a self-motivated individual with a strong administrative background and a keen eye for detail. Essential qualifications include:
- Proven experience as a Virtual Assistant, Administrative Assistant, or in a similar support role.
- Exceptional written and verbal communication skills.
- Strong organisational and time-management skills, with the ability to manage multiple priorities effectively.
- Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace.
- Familiarity with online calendars, scheduling tools, and CRM software.
- The ability to work independently and proactively with minimal supervision.
- A high level of discretion and a commitment to maintaining confidentiality.
Desirable attributes:
- Previous experience working within the construction, trades, or home services industry.
- Basic knowledge of bookkeeping software such as QuickBooks or Xero.
